New business technology setup

Starting a business means making eight technology decisions at once. You should not have to hold them all together yourself.

Domain and email, Microsoft 365, identity, security, files and digital presence can all be set up separately. The harder part is making sure the decisions work together from the beginning. SoftExponent establishes those foundations as one technology estate, with one accountable relationship behind it.

The founder problem

Technology becomes difficult at the point where responsibility stops being obvious.

For a new business, that point arrives early — usually before anyone in the company has the time or remit to notice it.

Every supplier can do their part properly and the estate can still end up incoherent. The gap is not competence. It is ownership of the decisions that sit between systems — decisions that rarely belong to any one supplier.

A registrar provides the domain. A designer builds the site. A licence reseller supplies Microsoft 365. Each can do its part properly, but none is necessarily responsible for how those decisions work together — how mail should route, where identity should sit, what the security baseline should be, or which decisions need to come first.

Those questions do not disappear. They usually settle on the founder, at exactly the stage when attention is scarce and the consequences are difficult to see. A decision that takes ten minutes in month one can take a fortnight to unpick in year two.

Our approach is straightforward: establish the foundations as one technology estate, decide the sequence deliberately, and keep ownership of the overall picture in one place.

What has to be established

The foundation is wider than a Microsoft 365 licence.

Each of these is a decision, not just a purchase — and several affect what is possible elsewhere.

01

Domain, DNS and professional email

The domain anchors mail, identity and the public-facing business. Delivery and verification records need to be configured carefully because changes here can affect everyone at once.

02

Microsoft 365, identity and mailboxes

The tenant, account structure, administrative access and mailbox setup need to be defined before day-to-day use begins.

03

Security baseline, MFA and access

Multi-factor authentication and access controls applied consistently from the beginning, rather than added later when a client, insurer or incident forces the issue.

04

Files and collaboration

A sensible structure for files, shared spaces and collaboration so the environment still makes sense once the team is larger than the people who first set it up.

05

Digital presence

The public-facing foundation established alongside the systems behind it, rather than treated as a separate exercise with its own assumptions.

06

Hosting, backup and operational foundations

Hosting, backup and update oversight set up so the systems protecting the business are actually in place, maintained and understood.

07

Customer contact and visibility

Lead capture, contact flow and basic visibility set up so enquiries have somewhere defined to go and the business can see what is happening.

08

Somewhere to take the question

A clear route for technology questions and decisions, so the founder does not become the default owner of every issue that falls between suppliers.

How we establish it

Decisions considered together, in an order chosen on purpose.

The value is not in any one configuration. It is in the sequence — and in having one accountable relationship across the whole foundation.

Senior-led from the first decision, not from the first escalation. The judgement that matters most is applied at the beginning, when decisions are easiest and least expensive to change.

We start with the business you are building, not with the systems that will run it. A four-person company planning to remain small needs a different foundation from one expecting to become twenty people within two years. That affects how identity, access, collaboration and ownership should be structured.

From there, the foundations are established as one set of connected decisions. Domain and mail routing come before mailboxes. Identity and the security baseline are defined before people begin signing in. File structure is considered before content accumulates. Digital presence is built against the same decisions rather than treated as a parallel project.

SoftExponent remains accountable throughout, bringing in appropriate specialist capability where a particular element requires it, without leaving the founder to coordinate the overall outcome.

01

Understand the business

What you are building, who is involved and where the business is intended to go. That determines the structure the technology needs to support.

02

Agree the foundation

What needs to be established, what depends on what, and the order in which the work should happen — agreed before implementation begins.

03

Establish it

Domain, mail, Microsoft 365, identity, security, collaboration and digital presence built as one connected foundation.

04

Launch review

A review at the point of launch to confirm what is in place, how it is intended to work and who owns what afterwards.

05

Next-stage recommendations

What deserves attention as the business develops, what can reasonably wait, and which decisions should be revisited as the company grows.

What is established

The foundations, grouped the way they are actually decided.

This is the published scope of the Startup Launch Platform, grouped by the decisions that belong together rather than presented as a disconnected list of features.

01

Business identity and communication

Founder positioning and commercial messaging, together with the domain, DNS and professional email foundation the business will depend on.

02

Workplace and collaboration

Microsoft 365 tenant, identity and mailbox setup, with a sensible file structure and collaboration workspace established alongside them.

03

Security and operational foundations

A practical security baseline with MFA and access controls, together with hosting, backup and update oversight where they form part of the agreed environment.

04

Digital presence and visibility

A professional digital presence foundation, with lead capture, contact flow and basic analytics visibility so enquiries and activity have somewhere defined to go.

05

Guidance and launch support

A monthly advisory and technology support allocation, a launch review with next-stage recommendations, and a clear route into ongoing managed IT, security and growth support where needed. Automation, marketing and specialist cybersecurity work remain separately scoped options.

The proposition

This engagement has a name: the Startup Launch Platform.

The Startup Launch Platform is SoftExponent’s defined proposition for establishing a new business on a proper technology foundation — and giving the founder one accountable relationship as that foundation takes shape.

It is a retained engagement rather than a one-off build, and it is offered by application. A short conversation establishes whether it is the right fit before either side commits to twelve months.

Founder rate
£499 per month
twelve-month minimum

Designed for founders and teams of up to 10 users. By application. Standard new engagements will usually start from £699 per month once the founder launch allocation closes.

A defined retained proposition, not unlimited access. Substantial projects, large migrations, major remediation and bespoke work are scoped separately. Automation, marketing and specialist cybersecurity work remain optional and separately scoped.

Where it leads

A foundation, and a route out of it.

The engagement is designed to leave the business with a foundation it can build on — not one that has to be rebuilt when the next stage arrives.

A pathway is a pathway, not an entitlement. Moving into wider support or a larger piece of work is a separate decision, scoped and agreed when the need arises.

As the company develops, day-to-day technology support may become a genuine operational need. At that point, the relationship can move into managed IT support, with the scope and service level agreed separately.

Security requirements often become more formal as larger clients, insurers or procurement processes enter the picture. Cyber Essentials readiness support provides a practical next step, building on the identity, access and security foundations already established.

If the Microsoft 365 environment later needs to grow, be restructured or absorb another environment, that becomes a separate Microsoft 365 setup or migration engagement, scoped against what exists at the time.

None of those services is included automatically in the founder rate. They are simply routes the relationship can take as the business develops, each considered and priced on its own terms.

Founder questions

What founders ask before applying.

If your situation is not covered here, tell us what you are building. A short conversation is usually enough to establish whether the Startup Launch Platform is the right fit.

No. The Startup Launch Platform is about establishing the technology foundation of a new business across identity, mail, security, collaboration and digital presence, with advisory support alongside it. Ongoing day-to-day IT support is a separate proposition and, where that becomes the main requirement, our managed IT plans are the better fit.

Microsoft 365 tenant, identity and mailbox setup is part of the published scope, established alongside the domain, mail and security decisions rather than in isolation. Microsoft 365 licences themselves are separate; SoftExponent does not resell them.

Often, yes. We first establish what is already in place, what is worth keeping and what would be better restructured than worked around. If the existing environment makes the engagement materially more complex, we will identify that before anything is agreed.

Yes. A professional digital presence foundation is included, together with lead capture, contact flow and basic analytics visibility. It is established alongside the systems behind it, so the public-facing business and the technology foundation are built from the same set of decisions.

A launch review confirms what has been established, how it is intended to work and what should happen next. The monthly advisory and technology support allocation continues through the term, so decisions that arise after launch still have somewhere to go.

No. It is a defined retained proposition, not unlimited access. Substantial projects, large migrations, major remediation and bespoke work are scoped separately. Automation, marketing and specialist cybersecurity work also remain optional and separately scoped.

Founders and teams of up to 10 users who want their business, digital and workplace foundations established together rather than assembled separately. It suits businesses that want to make the important technology decisions deliberately at the beginning instead of revisiting them under pressure later.

Because a twelve-month relationship should begin with a considered decision on both sides. The conversation establishes what you are building, what is already in place and whether the Startup Launch Platform genuinely fits. Where it does not, we would rather say so than sell it.

The next decision

Establish the foundation once, deliberately.

If you are starting a business and want the technology foundation established properly from the beginning, start the application. If you would rather discuss what you are building first, start with a conversation. Either way, the aim is the same: make the important decisions deliberately before they become expensive ones to revisit.
